6.1.1. Drop-off – Pick-up
Before arrival, parents/guardians will receive a text message at the mobile phone number they have provided:
- To confirm the reservation.
- To schedule an arrival appointment (on the first day of each camp session).

Arrival is staggered based on pre-scheduled online appointments to avoid crowding.
On the first day of each session:

- Afternoon appointments: Arrivals take place in a specially arranged area outside the Camp, and entry into the Camp is not permitted for parents.

- At the Camp entrance: Parents/guardians state the child’s name to reception staff and receive an entry card showing the child’s full name, group, and community assignment.
- Child drop-off: Parents/guardians accompany the child to the group stated on the entry card, meet the Group Leader, leave the child, and exit the group area. Parents are not allowed inside the sleeping quarters for hygiene reasons.
- Submission of required documents: Immediately afterward, parents proceed to a designated area to submit all necessary documentation (depending on the sponsoring organization). There, they meet the Community Leader and complete the registration process.
6.1.3. Arrival – Pick-up of Campers
Children must be dropped off and picked up only by their parents or legal guardians, who must present a valid ID or passport, with matching information provided during the child’s registration.
In cases of divorce, legal separation, or termination of cohabitation, the parent/legal guardian with custody must notify the Camp in writing at least ten (10) days before the child's arrival, by sending the relevant court decision, notarized agreement, or private agreement with certified date to: [email protected].
If such information is not provided, the Camp assumes no responsibility. Likewise, the Camp bears no responsibility for any violation of visitation rights due to the child's participation in a camp session.
If parents/guardians wish to authorize a third party (not themselves) for pick-up/drop-off, a written legal authorization with certified signature (via KEP or gov.gr) is required, clearly stating the full details of the authorized person.
6.1.4. Departure of Campers
Campers attending 15-day sessions (A: 29-06-2025, B: 15-07-2025, C: 31-07-2025, D: 16-08-2025, E: 31-08-2025) depart on the 15th day, i.e., the last day of each session, during morning hours.
Departure will be staggered and by appointment (scheduled online or by phone) to prevent crowding.
If, for any reason, a camper needs to leave earlier, the parent/guardian must contact the Camp office to arrange an appointment through the Camp Secretariat.
On the final day of each session, the Camp remains open until 16:00.
6.1.5. Means of Transportation
Arrival and departure must be carried out exclusively using the private vehicle of the parent/guardian, in accordance with the pre-scheduled appointment.
Parking is at your own risk, and the Camp accepts no liability for fire hazards, falling trees, or other extreme weather events. The Camp is not responsible for any loss, theft, or damage to personal property.
6.2. Visiting Day
Visiting day will take place only once per camp session.
The exact dates will be announced/published at a later time.
For safety reasons, no activities will take place on visiting day, as parents will be allowed to enter the Camp premises.
6.2.1. Duration & Information
Visiting day will take place within the Camp and for a specific duration, which will be communicated to parents via text message (regarding the time of entry).
Entry into the dorms is not allowed, nor is it permitted for campers to leave the Camp during visiting hours.
Parents are kindly requested not to bring any food, as no outside food is allowed inside the Camp for health and safety reasons.
6.2.2. Delivering Personal Items
Outside the scheduled visiting day, if parents/guardians wish to drop off items for a camper, they may do so by delivering them to the Gate Staff of the Camp (08:00–20:00).
The staff will ensure safe delivery without direct parent–camper contact.
6.2.3. Emergency Visits
In case of a serious reason that requires a visit outside of the scheduled visiting day, parents/guardians must first contact the Camp Office.
The Office will determine the allowed time window for the visit.
Emergency visits will be brief (up to 30 minutes) and will take place in a designated area of the Camp.
Delays may occur, as these visits are handled alongside the regular daily program.
Parents/visitors are strictly prohibited from entering the dorms at any time during the camp session.
6.2.4. Camper Leave of Absence
Granting permission for campers to leave the Camp is not recommended.
It is only allowed in exceptional cases, provided there is a justified recommendation or another urgent necessity.
The parent/guardian must coordinate with the Camp Office to arrange a scheduled appointment (date and time) in order to collect the child.
6.3. Communication Between Parents/Guardians and Campers
6.3.1. Telephone Communication
Parents/guardians may contact their children via the Camp’s telephone center (27410-93800) during the following hours:
- Morning: 10:30 – 12:30
- Afternoon: 17:30 – 19:30
6.3.2. Electronic Communication
You may send an electronic message to your child by filling out the online communication form available on the Camp’s website.
Recommendation: We encourage you to agree on a specific time of day with your child for communication. This helps prevent continuous anticipation of a call, which may lead to disengagement from activities and increased feelings of insecurity. Establishing a routine will support the camper’s adaptation.
6.4. Camper Group Selection – Allocation
6.4.1. Group Request
Each child may request to be placed in the same group with up to five (5) friends, provided the request is submitted to the Camp at least ten (10) days prior to the child’s arrival.
6.4.2. Requirements
To be considered for the same group, children must:
- Be of similar age (±1 year)
- Be of the same gender
- Have the same arrival date for the 15-day camp session
6.4.3. Possibility of Changes
Group changes after arrival at the Camp are not recommended.
Such requests may not always be accommodated, as they can disrupt the existing schedule and structure.
6.4.4. Final Allocation
The final assignment of campers to groups (dorms) and communities is determined solely by the Camp, based on its internal organization.
Parents/guardians are not permitted to select specific groups (rooms) or communities.
6.5. Use of Electronic Devices and Mobile Phones by Campers
6.5.1. General Guidelines
The decision to equip a child with a mobile phone or other electronic device (e.g., tablet, smartphone, electronic games, etc.) lies solely with the parent/guardian.
- Sharing or exchanging such devices or other personal belongings among campers is strongly discouraged.
- The parent/guardian who chooses to provide their child with an electronic device assumes full responsibility for its use and any related activity.
- The use of electronic devices and phones will be governed by specific rules and schedules, which campers are expected to follow.
- The Camp does not provide internet access (Wi-Fi) for campers. It is recommended that campers avoid mobile data usage for internet browsing.
- The Ranch Camp bears no responsibility in case of loss, damage, or theft of mobile phones or other electronic devices, nor does it undertake any form of compensation.

- After wake-up, before the start of afternoon activities
6.5.2.3. Special Cases

After the end of each camp period, the items are stored until the end of the calendar year. Once the Camp confirms that the forgotten items have been found, parents may collect them either from the Gate of The Ranch in Sofiko, Corinthia, by appointment, or via courier, with the shipping costs borne by them.
Parents are advised not to supply children with items of great monetary or sentimental value. The Camp will make every effort to recover any lost items, however it cannot guarantee their retrieval and bears no responsibility in case of loss.
- Nutrition
The Camp offers children a healthy and complete nutritional program that covers their dietary needs.
The main meals—breakfast, lunch, and dinner—are served in the dining hall. Campers eat by team and by community. Morning and afternoon snacks are also provided by team, within their community.
For health and safety reasons, campers are not allowed to have or store any kind of food in their luggage or dormitories. The Camp holds ISO 22000:2018 & H.A.C.C.P. System certification.

The Camp reserves the right to modify the posted nutritional program on its website if deemed necessary.
Parents are kindly asked not to bring any food during visitation, as the introduction of outside food into the Camp is not permitted for health, safety, and ISO 22000:2018 certification reasons.
- The “The Ranch” Bank
For safety reasons and to help our young friends become familiar with managing financial transactions, parents/guardians have the option to deposit their children’s pocket money into the Ranch Bank.
On the day of arrival, the camper receives a personalized card from the Camp staff, which they manage themselves. Parents can deposit the pocket money in advance or during the camp period.
Deposit methods:
- Online, via the Camp’s website at: https://ranch.gr/el/the-ranch-bank
- By bank transfer to the Company’s account.
The deposited amount is credited to the personalized card within 24 hours. After the end of each camp period, any remaining balance in the child’s account is refunded to the parent’s/guardian’s bank account, whose details (IBAN, account holder’s name, etc.) are provided to the Camp through a designated communication form. The refund is processed within 20 working days after the end of the camp period.
If a camper chooses to manage cash, the Camp does not assume any responsibility for the safekeeping of the money nor does it bear any liability in case of loss.
- Medical Data
12.1. Medical History
Note: Providing a complete and accurate medical history is a fundamental requirement for participation in the Camp. If parents/guardians refuse to provide the history or revoke their consent for the processing of medical data, the Camp retains the discretion to deny or remove the minor from the program, for reasons related to the health and safety of the child, as well as for the safety of the camp community and public health.
Parents/guardians must complete the medical history form (the specific form of The Ranch, which is available online on the Camp's website: https://ranch.gr/en/general-information-about-the-camp) with the stamp and signature of a pediatrician, who, by signing, certifies:
- The complete and appropriate vaccination of the child, according to their age.
- The child's ability to participate in the camp’s sports activities.
- If the child belongs to a high-risk group for severe illness or complications (e.g., heart or respiratory disease), a written, explicit consent from the attending physician must be provided in order to accommodate the child at the Camp.
12.2. Obligation to Inform about Underlying Conditions or Hospitalization History
Parents/guardians of children who have any developmental disorder (such as Asperger Syndrome, Tourette Syndrome, autism spectrum, ADHD, etc.), psychiatric history, or any underlying condition (e.g., asthma, diabetes, Mediterranean anemia, heart problems, bronchial asthma, G6PD deficiency, epilepsy, etc.), allergies (food or other), or have been hospitalized recently, are required to contact the Camp via phone and inform them in writing before the camper's arrival.
If there is a relevant diagnosis or medical opinion, please send it via email to [email protected] before arrival, along with the relevant consent document for the processing of these data, which is available online on the Camp’s website: https://ranch.gr/en/general-information-about-the-camp. Upon arrival, parents/guardians must inform the camp's doctor and psychologist and provide any relevant medical opinions to the designated staff.
Parents/guardians bear the exclusive responsibility for the accuracy of the provided medical information and are required to inform the Camp of any significant health incidents or conditions of the child. In the case of incomplete or false information, or withholding of information known to the parents/guardians, the Camp reserves the right to request the child’s removal.
12.3. Medication & Provision of Medical Care
Upon submission of the medical history and the start of the camp session, parents/guardians give their prior consent for the camp's doctor to administer any necessary medication in case of an emergency (e.g., allergic shock, epileptic seizure, first aid) and to transfer the child to a nearby hospital, health center, or external doctor, if deemed necessary by the camp’s doctor, as the Camp only offers primary care and not hospitalization.
The Camp may proceed with any necessary medical procedure in emergency cases without prior consent from parents/guardians, if immediate medical intervention is needed to prevent risk to the child’s life or health.
If the doctor determines that the child must leave the Camp, parents/guardians must comply with this decision immediately.
If a child temporarily leaves the Camp due to illness, they may return only after at least 48 hours without any symptoms.
Any verbal recommendation by a parent/guardian for any medication or para-medical treatment or ointment will not be considered, unless it is given in writing and accompanied by a medical recommendation.
12.4. Medication Delivery
Medications (including para-medical treatments or vitamins) must be delivered exclusively to the Camp doctor by parents/guardians and remain with the doctor until the child’s departure.
Parents/guardians are solely responsible for informing the doctor in detail about the reason for taking the medication, the recommended dosage, the prescribing doctor’s name, and the doctor’s contact phone number. Please ensure that the prescription, stamped and signed by the attending physician, is always provided to the Camp doctor.
Campers are strictly prohibited from having any medication or para-medical treatments in their luggage throughout their stay at the Camp.
12.5. Management of Suspected or Confirmed Cases of Influenza A & B, SARS-CoV-2 Coronavirus, Streptococcus
There is no specific protocol regarding the above that has been issued to camps for 2025.
A test will only be conducted if the Camp doctors deem it necessary based on the child’s symptoms.
If the test is positive, parents will be notified and must immediately pick up their child from the Camp. The child will remain in the infirmary until pickup time.
12.6. Health Personal Data
The personal health data of campers, which parents/guardians provide to “The Ranch” Camp through the completion of the medical history form, submission of relevant medical opinions and prescriptions (where required above), is processed exclusively for the purpose of ensuring the child’s smooth stay at the Camp, protecting their health and safety, enabling timely and appropriate medical intervention in case of need, and safeguarding public health and the health and safety of other minor campers. Parents/guardians have explicitly and in writing consented to this (Art. 9 par. 2 (a) GDPR), as well as for the protection of the child’s vital interests (Art. 9 par. 2 (c) GDPR) in case of immediate danger and to provide health services and medical care (Art. 9 par. 2 (h) GDPR).
- Cases of Removal of a Child from the Camp
The "The Ranch" Camp, ensuring the safety and smooth operation of all camp periods, reserves the right to request the removal of a child from the Camp following a decision by the competent Committee, which consists of:
- The Camp Management (Camp Leader, Deputy Leader, Supervisor)
- The Camp Doctor
- The Camp Psychologist
- The Camp Director
Removal may be carried out in the following indicative cases:
- When parents/guardians have concealed during registration the existence of a serious medical problem or mental illness of the child or have not provided all the necessary documents for the child's registration on time (medical history with the pediatrician’s signature for full vaccination and participation in sports activities, medical reports and prescriptions, along with the relevant consent document for processing these data).
- When it is found that the child exhibits aggressive behavior towards other children, staff members, or objects and animals, causes damage to private property or engages in other inappropriate or illegal actions (e.g. thefts, violence, bullying, improper use of mobile phones) or repeatedly refuses to comply with the instructions of group leaders/community leaders.
- When it is found that the child has sexually harassed another child.
- When it is found that the child carries dangerous or prohibited items (e.g., knives, blades), tobacco products or e-cigarettes, alcohol or illegal substances.
- When this is deemed necessary by the Camp doctor for the child's health reasons or to protect the health of the other campers.
- When non-compliance with the terms of this Regulation by campers or their parents/guardians is established (e.g., child leaving the dormitory during quiet hours, violation of safety rules, etc.).
- When, according to common sense, the child’s presence creates problems for the smooth operation of the Camp and for other campers (e.g., parents refusing to use anti-lice products if lice or nits are found).
For all of the above reasons, the Camp may refuse to accept the child in future camp years or in any other period.
